# Event-site CMS content audit and field-mapping worksheet

Editable working copy. This template is in English. Replace examples with confirmed event facts; keep the sheet internal if it contains unpublished decisions or private account information.

## 1. Scope and content snapshot

| Event/site | Current edition | Old CMS | New CMS | Content snapshot at (time zone) | Publication owner | Fact approver | Planned public check |
| --- | --- | --- | --- | --- | --- | --- | --- |
| [Event and URL] | [Year/date] | [System] | [System] | [YYYY-MM-DD HH:MM zone] | [Role] | [Role] | [YYYY-MM-DD HH:MM zone] |

| Boundary | Unchanged / changing / unknown | Owner | Separate change plan or evidence |
| --- | --- | --- | --- |
| Domain and DNS | | | |
| Public URL paths | | | |
| Hosting | | | |
| Ticket checkout | | | |
| Forms and notifications | | | |
| Media and downloads | | | |
| Analytics and Search Console | | | |

## 2. Public page and content-record inventory

Make one row per public URL and another for reusable CMS records. Use the record type column to distinguish them. Include routes reached from emails, QR codes and old bookmarks even if they are absent from the menu.

| Record type | Old ID / URL | Reader question or purpose | Edition | Locale | Public state | Owner | Last approved source and date | Template / linked records | Media / downloads | External action URL | Decision | New ID / URL | QA status |
| --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- |
| Page | `/2026/visit` | Where should attendees enter? | 2026 | en | Public | Venue editor | Approved entrance note, [date] | Venue detail | Entrance map | Ticket page | Revise | [New URL] | Not started |
| Record | `session-42` | Session time and room | 2026 | en | Public | Program editor | Final program, [date] | Day 2 → speaker 7 | Slide link | None | Copy after check | [New ID] | Not started |
| | | | | | | | | | | | | | |

Decision vocabulary: **copy after verification / revise from approved source / retain as dated archive / merge into a genuinely equivalent destination / retire with approved destination / exclude from launch pending decision**. A low-visit count alone is not a decision.

## 3. Field and relationship map

| Old type and field | Old format and example | New type and field | New format | Required? | Locale behavior | Relationship / transformation rule | Source approver | Test record | Mapping status |
| --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- |
| Session `starts_at` | Free text: `17:00 local` | Session `[date]`, `[time]`, `[time zone]` | Defined fields | Yes | Shared date; translated display copy | Preserve approved event time zone; no inference from import | Program editor | `session-42` | Open |
| Session `speaker_name` | Plain text | Session `speaker_ref` | Reference | If shown | Locale-specific profile text | Connect to approved speaker record | Program editor | `session-42` | Open |
| | | | | | | | | | |

Representative records to try before bulk import: simple current event; multi-day agenda; translated page; postponed/archived edition; unusual embed or download. Record what the new CMS cannot represent without a custom field, component or manual fix.

## 4. URL, media and external handoff map

| Old public URL or asset | New URL or destination | Same visitor task? | Redirect / preserve / retire | Internal links to update | Locale | Owner | Observed public result | Fallback / unresolved note |
| --- | --- | --- | --- | --- | --- | --- | --- | --- |
| `/2026/visit` | [URL] | Yes | [Decision] | Event page, confirmation email | en | Web owner | [After test] | |
| [Ticket button destination] | [Provider URL] | Yes | External handoff; no CMS copy assumption | Event page | [Locale] | Ticket owner | [After test] | [Direct link if embed fails] |
| [Image or PDF URL] | [New asset URL] | Yes | [Decision] | [Page list] | [Locale] | Media owner | [After test] | |
| | | | | | | | | |

## 5. Changes after the snapshot

| Live change at (time zone) | Page / record | Approved source | Approver | New-CMS update owner | Applied in preview? | Verified public? |
| --- | --- | --- | --- | --- | --- | --- |
| | | | | | | |

## 6. Visitor-path and content QA

For each representative path, compare the new preview with the approved source, then repeat on the public site after release. A link click is not a completed order.

| Start path | Page / locale / edition | Fact or action to verify | Expected approved result | Preview observed | Phone and keyboard result | Public observed | Defect owner | Retest date/status |
| --- | --- | --- | --- | --- | --- | --- | --- | --- |
| Search or old bookmark | | Date, venue, archive context | | | | | | |
| Invitation link | | Ticket handoff | | | | | | |
| Series page | | Correct edition | | | | | | |
| Download link | | Opens correct approved file | | | | | | |
| Translated page | | Correct facts and language destination | | | | | | |

Check for each tested page: heading order; tables readable at phone width; images and purpose-appropriate text alternatives; captions; linked files; external service access; internal links; public/private state; visible event facts versus any existing Event structured data.

## 7. Reconciliation and release record

| Check | Source count | New count | Exceptions | Owner | Approved at |
| --- | ---: | ---: | --- | --- | --- |
| Current-edition pages | | | | | |
| Archived-edition pages | | | | | |
| Reusable session/speaker records | | | | | |
| Localized variants by language | | | | | |
| Files and downloads in public use | | | | | |
| External links and embeds | | | | | |

| Approval | Name / role | Inventory version | Decision time | Open exceptions accepted? |
| --- | --- | --- | --- | --- |
| Event facts | | | | |
| CMS field mapping | | | | |
| Public URLs and visitor paths | | | | |

If a critical public fact or action fails, record affected URLs, the correction or rollback owner, the decision time and the recheck result. Keep this audit for the next event edition.
