# Event exhibitor directory: editable profile and publish worksheet

Copy this file for one event edition. Replace brackets with approved details. Keep internal notes in your working copy; publish only the fields marked for the public page. This worksheet does not create or update a directory in any platform.

## 1. Directory release record

| Field | Your entry |
| --- | --- |
| Event edition and date | [ ] |
| Directory page URL | [ ] |
| Public audience and access setting | [ ] |
| Approved exhibitor roster version / owner | [ ] |
| Floor plan version / stand-allocation owner | [ ] |
| Public wording approver | [ ] |
| Planned publish date / next review | [ ] |
| Correction owner and contact route | [ ] |

**Attendee task:** Visitors should be able to [browse a short list / find an exhibitor by name / browse a category / find a stand]. Remove options that do not apply.

**Directory labels:** Exhibitors are [ ]; sponsors are [ ]; partners are [ ]. Record any agreed placement separately in the sponsor deliverables record.

## 2. Repeat this profile for every confirmed exhibitor

| Public field or decision | Approved value / evidence |
| --- | --- |
| Organization ID (internal, stable) | [ ] |
| Display name | [ ] |
| Short attendee-facing description: what can visitors find? | [ ] |

| Stand checked against floor plan version and by whom | [ ] |
| Public website URL; destination opened and checked | [ ] |

| Exhibitor confirmation date and contact | [ ] |
| Public wording approver and date | [ ] |
| Status: draft / approved / published / withdrawn | [ ] |
| Live card URL or page position; correction owner | [ ] |

Keep staff lists, setup instructions, private contacts and application notes outside the public profile. Do not copy registration answers into the public page without review.

## 3. Build and publish checks

- [ ] The public list includes only confirmed organizations for this edition.
- [ ] Each card uses the same field order: name, short description, category if useful, stand/zone, and clear website link.
- [ ] Sponsors and partners are labeled accurately if listed beside exhibitors.
- [ ] Category names group real exhibitors; no empty filter appears.
- [ ] Stand numbers and linked floor plan agree; unconfirmed stands are marked pending.
- [ ] Company names remain readable as text if a logo is missing or fails to load.
- [ ] A logo-only link has an accessible name describing its destination; a logo beside the same visible link name does not need to repeat that name.
- [ ] The platform's public visibility setting has been checked against the intended audience.
- [ ] The published URL opens without organizer credentials.

## 4. Visitor test and correction log

Test a phone and keyboard route. Include a long organization name and an exhibitor without a logo. Open at least one external website link and check where it lands.

| Date / device | Visitor task and card | Observed result or defect | Owner | Retest date / result |
| --- | --- | --- | --- | --- |
| [ ] | Find [ ] by name or category | [ ] | [ ] | [ ] |
| [ ] | Locate stand [ ] on the current plan | [ ] | [ ] | [ ] |
| [ ] | Follow [ ] website link | [ ] | [ ] | [ ] |
| [ ] | Keyboard focus and logo-only link name | [ ] | [ ] | [ ] |

**Final before-doors comparison:** Roster version [ ] and floor plan version [ ] were checked by [ ] on [ ]. Outstanding mismatches: [ ]. Next owner/review time: [ ].

**After a change:** Update the affected public card, then retest its category, stand/map reference and link. Record the public result; editing an internal record is not proof that the attendee page changed.
