# Event identity and touchpoint release matrix (English)

Make a copy for each event series and edition. This is a design and factual review record; keep asset provenance and permitted-use evidence in the separate approved asset register.

## 1. Evidence-based brief

- Event series / edition:
- Organizer and approving owner:
- Public event page and approved facts source:
- Intended audience (specific, not “everyone”):
- Verified event format and purpose:
- One-sentence promise the current program can support:
- Words or outcomes the team must not claim without evidence:
- Approved short event name and organizer name:
- Brief version / approval date:

| Stable series identity | Edition-specific fact or asset | Approved source / last checked | Owner |
|---|---|---|---|
| Series name / mark | Edition name and year | | |
| Core tone and broad purpose | Date, time, timezone | | |
| Base palette and typography | Venue and public entrance name | | |
| Illustration/photo direction | Program, speakers, ticket conditions | | |

## 2. Small working identity system

| Element | Approved value or master file | Use and fallback | Reviewer / version |
|---|---|---|---|
| Organizer mark / event mark | | Light/dark versions, minimum readable use | |
| Background color | | | |
| Body text color | | Contrast check against actual background | |
| Link and button colors | | Hover/focus and disabled states where relevant | |
| Heading/body type | | Readable fallback; longer locale labels | |
| Photography/illustration | | Approved source, crop and credit review | |
| Icons | | Meaning in text as well as icon | |
| Voice sample | | Event description / invitation / arrival note | |

- Editable master location:
- Export naming/version convention for web, email and print:
- Where source and approved-use evidence is recorded:
- Who approves a new crop, speaker portrait or sponsor mark:

## 3. Cross-channel release matrix

Use actual published links or physical proof IDs. Mark N/A only if that surface does not exist.

| Surface | Current event name/date/place/action checked | Identity master / export version | Public link or proof | Phone/print/locale check | Owner and reviewer | Publish / fix / hold |
|---|---|---|---|---|---|---|
| Event website overview | | | | | | |
| Program / venue / FAQ pages | | | | | | |
| External ticket or registration destination | | | | | | |
| Invitation email with images off | | | | | | |
| Social post and preview crop | | | | | | |
| Arrival sign / venue screen | | | | | | |
| Recap / next-edition notice | | | | | | |

A reviewer unfamiliar with the draft should follow the public event page → registration/ticket destination and compare it with the invitation. Record where the transition to a third-party service is visible. Do not assume that service permits full branding control.

## 4. Accessibility and localization checks

- Text/background combinations checked at actual sizes:
- Informative image alt text or text equivalent checked:
- Essential facts remain readable when images fail:
- Links and buttons are understandable without an icon:
- Mobile crop and sticky controls checked:
- Each published locale checked at its actual width:
- Facts embedded only in artwork that need an editable-text alternative:
- Physical proof checked at intended reading distance:
- Exception, owner and approved fix:

## 5. Change and retirement log

| Trigger (date, venue, program, ticket rule, mark, name) | Live surfaces found | Update owner | Revised version / date | Retest evidence | Closeout |
|---|---|---|---|---|---|
| | | | | | |
| | | | | | |

- Next edition: stable rules to retain:
- Old facts and calls to action to retire:
- Final editorial approval / date:
- Final design/technical approval / date:
