# Event sponsor deliverables — editable fulfillment tracker

Event and edition: [ ] Sponsor: [ ] Agreement/version and date: [ ] Organizer owner: [ ] Sponsor contact: [ ] Report date: [ ]

Copy **each agreed benefit** from the signed terms into its own row. Keep the original wording or link to the relevant clause. A package label alone is not a deliverable. Do not treat this worksheet as an amendment to the agreement.

| ID | Agreed deliverable and specification | Agreement reference | Organizer owner | Sponsor input/approval needed | Due date | Status | Evidence link and captured date | Sponsor review/acceptance | Exception and next action |
|---|---|---|---|---|---|---|---|---|---|
| D-01 | Example: sponsor logo on the event home page, approved size and placement | [clause] | [name] | Final logo file, brand approval | [date] | Not started | [URL/screenshot] | Pending | [owner/date] |
| D-02 | Example: sponsor mention in the attendee email, agreed copy and send window | [clause] | [name] | Copy approval | [date] | Not started | [send record/test copy] | Pending | [owner/date] |
| | | | | | | | | | |

**Suggested status language:** Not started; waiting on sponsor; in production; delivered, evidence pending; evidence supplied, awaiting review; accepted; exception. Define these with the sponsor. “Sent” is not necessarily “accepted”; an impression count is not proof that a particular placement was delivered.

## Report for one sponsor

| Reporting item | Value or explanation | Source, date and caveat |
|---|---|---|
| Agreed deliverables in scope | [count, including approved changes] | [agreement/version] |
| Accepted or evidenced as complete | [count; list IDs] | [evidence links and reviewer] |
| Open, late or disputed | [count; list IDs] | [owner, next action and date] |
| Observed reach or engagement, if promised | [metric and unit] | [platform report, window, methodology] |
| Estimated audience or forecast | [separate, clearly labeled] | [method and assumptions] |

Do not collapse delivery and performance into one percentage. A sponsor logo can be published as promised even when clicks are below a forecast; high clicks do not cure a missed contractual placement. Do not share attendee-level data without a valid basis and the permissions promised in the agreement.

## Closeout

1. Reconcile each row against the final written agreement and approved changes.
2. Capture a durable screenshot, URL, send record, production photo or platform report appropriate to the promise.
3. Ask the sponsor to review exceptions and log the decision; do not silently mark disputed items complete.
4. Archive the agreed report, evidence and any remedy decision with an owner and retention rule.
