# Event support inbox access and continuity register

Use one copy per public support address. Keep credentials and attendee messages out of this worksheet. The provider administrator should confirm the exact permission names and licensing rules for the chosen platform.

| Mailbox / queue field | Record |
| --- | --- |
| Event edition and published support address | |
| Platform and actual mailbox/group/queue type | |
| Account or tenant owner | |
| Business owner and backup | |
| Support coverage hours and escalation contact | |
| Where access requests and approvals are recorded | |
| Where delivery, forwarding and reply rules are reviewed | |
| Recovery route if owner or provider operator is unavailable | |
| Next access review and event closeout date | |

## Access decisions

| Person or team | Business reason | Read / manage | Reply identity or send permission | Approver | Start | End or review trigger | Granted by | Tested by | Removed on |
| --- | --- | --- | --- | --- | --- | --- | --- | --- | --- |
| | | | | | | | | | |

Check the actual platform model. In Microsoft 365, Full Access and Send As are separate permissions. Gmail delegation and Google Groups Collaborative Inbox use different collaboration rules; do not copy a permission label from one to the other.

## Workflow evidence

| Check | Expected result | Observed result and time | Owner / next action |
| --- | --- | --- | --- |
| Test message reaches the queue | | | |
| Authorized worker can open and assign it | | | |
| Reply shows intended public sender and reaches test recipient | | | |
| Escalation reaches backup when primary is absent | | | |
| Forwarding, filters and auto-replies match approved rules | | | |
| Departed staff and vendor access removed | | | |
| Recovery contact and admin route available to the organization | | | |

At event closeout, decide who retains the mailbox, how long records are kept under the applicable policy, whether a forwarding address remains, and when temporary permissions are removed. Do not assume that deleting an address deletes its history or that a backup person automatically has administrator rights.
