# Event photo gallery: editable release matrix

This worksheet is in English. Copy it for one event edition and use only images already cleared by your own team for the intended public page. Keep private approval records in their existing controlled location; this sheet records the publication decision and test result.

## 1. Release record

| Field | Fill in |
| --- | --- |
| Event edition and public event URL | |
| Gallery page URL | |
| Approved album or image source URL | |
| Source owner / public-page editor | |
| Last approved image set or version | |
| Review date and reviewer | |
| Gallery method: native page / external embed / direct link | |
| Provider instructions used, if embedded | |
| Public direct-album URL and link label | |
| Planned next review / archive decision date | |

## 2. Image-group publication matrix

Add a row for each coherent group of photos, such as a session or day. Do not put private attendee data or approval evidence in a publicly shared copy of this worksheet.

| Image group and source version | Cleared for this page by / date | Public caption or context owner | Expected order or cover | Visible on signed-out page? | Correction and owner |
| --- | --- | --- | --- | --- | --- |
| Example: opening session, approved set v2 | [team role], [date] | [editor] | [cover image ID] | [yes/no, date] | [issue or none] |
| | | | | | |
| | | | | | |

## 3. Visitor controls and access

| Check | Intended setting | Observed on public page | Observed at direct album URL | Action / owner |
| --- | --- | --- | --- | --- |
| View without signing in | | | | |
| Open a photo / lightbox | | | | |
| Move between photos | | | | |
| Download or save control, if offered | | | | |
| Captions and dates match the event record | | | | |
| Informative photos have useful alternative text | | | | |
| Linked images have functional link text | | | | |

## 4. Published-page test log

Use the actual published URL. For keyboard checks, record whether focus reaches the gallery, whether a lightbox opens and closes, and where focus returns. A claim in a provider description is not a test result. Simulate an embed failure in staging or by blocking only its request in your browser. Review an album-service outage as a scenario with a draft unavailable state or provider test mode, if offered; do not disrupt the live provider.

| Date, reviewer, device/browser | Signed-out access | Phone layout / photo navigation | Keyboard / focus / Escape | Slow-load observation | Result and correction owner | Retested on |
| --- | --- | --- | --- | --- | --- | --- |
| | | | | | | |
| | | | | | | |

Check the two failure cases separately. A direct album link is an embed fallback only while the album service remains available.

| Simulated condition | Direct album link result | Event page readable? | Accurate notice and confirmed update/contact route, if album unavailable | Correction owner / retest |
| --- | --- | --- | --- | --- |
| Embed fails; album service available | | | N/A | |
| Album service unavailable (scenario; do not disrupt provider); link may fail too | | | | |

## 5. Change and closeout log

| Change date and owner | Source change / approved version | Public gallery checked? | Event-page link checked? | Remaining copied or cached view to inspect | Next review |
| --- | --- | --- | --- | --- | --- |
| | | | | | |

At archive time, record one explicit choice: **keep public**, **move to a stable archive**, or **remove**. Update the event-page introduction and link to match, then test the published result as a signed-out visitor.
