# Event capacity reduction after ticket sales: response worksheet

Use one sheet per affected event date, time slot and admission zone. The venue or competent local safety lead must approve the usable capacity; this sheet does not calculate or authorize it. Do not include attendee names or payment details here. Keep restricted order references in the ticketing system.

## Decision and sales stop

| Field | Recorded value or evidence |
|---|---|
| Event / date / zone | [ ] |
| Prior and newly approved usable capacity | [ ] |
| Approval source, date and effective time | [ ] |
| Changed site/layout restriction | [ ] |
| Safety/venue lead and ticketing owner | [ ] |
| Web checkout paused and verified | [ ] |
| Box office, partners, sponsor/comps and manual routes paused and verified | [ ] |
| Next internal decision time | [ ] |

## Reconcile each pool

| Pool / session | New approved sellable amount | Issued paid | Issued complimentary/manual | Active holds | Pending orders | Partner allocation not yet reported issued | Difference and evidence owner |
|---|---:|---:|---:|---:|---:|---:|---|
| [date/zone] | [ ] | [ ] | [ ] | [ ] | [ ] | [ ] | [ ] |

Use the ticketing platform's actual semantics. A partner allocation already converted to issued tickets must not be counted twice. Treat pending orders separately until resolved. Do not use expected no-shows to close a capacity deficit.

## Remedy decision

| Question | Decision / reviewer |
|---|---|
| Is an alternative layout or additional session independently approved? | [ ] |
| Which buyer options are permitted by contracts, accessibility needs and local advice? | [ ] |
| Who approves a consistent selection and contact process? | [ ] |
| Which order changes or refunds will the ticketing operator perform? | [ ] |
| When will buyers receive the next factual update? | [ ] |

## Reopen gate

- [ ] All affected orders have an approved disposition or active case owner.
- [ ] Issued admissions and unresolved holds fit the newly approved limit for each pool.
- [ ] Door list and buyer entitlements reflect completed changes.
- [ ] Venue, support, checkout, partners and public page agree on the status.
- [ ] Sales owner signs the count and documents reopening time and evidence.

A lower dashboard capacity can flag oversold inventory; it does not fix existing buyer commitments. Escalate unresolved deficits instead of reopening sales.
