Event roles and responsibilities matrix template: an editable RACI workbook
A staff list says who is on the team; it does not say who can approve a gate change, who performs a task or who must be told. Google’s leading result for 'event roles and responsibilities matrix template' is a set of editable RACI spreadsheets. This original workbook applies the same useful format to event operations, with prompts from planning through live delivery and debrief. Its assignments start blank because the venue, organizer, contractors and local rules determine real authority.

Use RACI to make each decision and task explicit
In the workbook, R means the role doing the work; A is the single role accountable for the decision or deliverable; C is consulted before the decision; I is informed afterward. AR means the same role both does and owns a task. Smartsheet's top-ranking template page uses this task-by-role mapping and gives downloadable spreadsheet examples. Our event-specific version keeps one row per deliverable or decision and a visible check for a missing or duplicate A, or a missing R. This is an assignment aid, not a substitute for a staffing schedule or a contract.[1]
- Rename the role columns for your event team.
- Use R, A, AR, C or I in each task cell.
- Resolve every “Assign A,” “One A only” or “Assign R” check.
List operational work from planning through debrief
The starter rows span plan approval, venue conditions, ticket inventory, public information, supplier access, opening checks, crowd monitoring, show changes, ticketing exceptions, emergency interfaces, closeout and debrief. Add, remove or split rows until each has a clear outcome. Separate a task from the decision that authorizes it when those belong to different people. The matrix deliberately does not assign a universal owner for safety-critical actions. UK HSE guidance notes that crowd-safety roles and contractor interfaces need clear coordination while the organizer retains overall responsibilities under its context. Outside the UK, confirm duties with the competent local lead.[2]
- One concrete deliverable or decision per row.
- Include venue and supplier interfaces, not just internal staff.
- Name a deputy in the operational plan where continuity requires it.
Use it in a short cross-team briefing and handover
Walk through decisions that cross workstreams: opening gates, changing capacity, stopping a performance, publishing an update and coordinating with responders. Have each role confirm its R, A, C and I assignments and the route for urgent escalation. Put the current workbook version where operations and the venue can find it; reissue it after staffing or scope changes. The downloadable file has editable role labels, dropdowns and status formulas. It is a working template, so confirm the final assignments with the responsible people rather than treating its example tasks as approved policy.
