Event found-item desk intake and handoff checklist
Found property has no claim ticket. Before doors, name the venue desk that receives it and who decides next steps. This checklist tracks each reference from discovery through return or handoff; it does not set proof-of-claim, storage or retention policy.

The English worksheet records desk, item reference, time and place found, visible description, location, status and custodian. Rutgers Newark directs found event items to its Reservations Office; UC San Diego has an Event Services desk and later transfer point. Confirm your venue’s route before briefing staff.[1][2]
Log the item without exploring it
Give the item a unique reference when the designated team accepts it. Record only visible details needed to distinguish it; do not open a sealed bag during routine intake or copy personal details into a shared log. Mark the holding point and receiving person. For special handling, follow the venue’s escalation path.
- Unique item reference
- Found time and place
- Current location and receiving person
Route return decisions to the venue
Keep claim enquiries separate until the authorized venue or operator checks them. Overture Center gives different staff return authority by item group; its ID and pickup rules apply only there. Tell guests the current enquiry route, but let your venue decide verification, release and later contact. A description match alone does not prove ownership.[3]
Reconcile and hand over open items
At shift change or close, check every open reference against its physical location and status. Note what was returned under venue process, remains held or was transferred. Name receiving custodian, time and next enquiry contact. UC San Diego’s desk-to-center transfer shows why the next owner must be clear; its timetable is not universal.[2]
