Guest speaker invitation email template and confirmation tracker

A speaker invitation is an offer to discuss participation, not a booked session. The email should make it easy for the person to judge the fit and answer. Once they accept, confirm the agreed details separately and track what is still open. Copy the editable invitation and decision log below.

A reply starts a conversation; the programme slot is confirmed only after the agreed details are recorded.

Write a personal invitation with a decision-ready ask

Tell the person why their experience suits this audience, what role you are asking them to take, the topic or angle, event name, date, time zone, location or remote format, estimated audience and reply date. NIST’s public sample lists event, audience, speaking purpose, personal reason and contact as core invitation components. The first-ranking Mailsoftly result confirms template-led search intent but is mostly an email editor and generic description; the useful gap is a complete, editable message with a follow-through record.[2][1]

State what is decided and what is only proposed. If compensation, travel, recording, slide use or Q&A arrangements are still under discussion, say who will clarify them. The University of Florida’s event-writing guidance calls for a personal invitation and any honorarium or travel detail. Do not imply that silence, an informal “sounds good,” or a calendar hold settles payment or usage terms.[3]

Copy this invitation, then adapt it to the person

Email partEditable wording
SubjectInvitation to speak at [event] on [date]
OpeningHello [name], I am [role] at [organizer]. Your work on [specific reason] would help [audience] with [goal].
AskWould you consider a [keynote/panel/workshop] on [topic] at [event], [date and time zone], [venue or online]? The session is planned for [duration], with [Q&A format].
Decision detailsWe expect [audience description/size]. [Approved fee/travel terms, or say these need discussion]. [Recording/publication terms, if known].
ReplyCould you let [contact] know by [date] whether you are interested? I can share the fuller speaker brief and answer questions before you decide.

Keep the message short enough to read on a phone. Link to a credible event page if one exists. Do not send the same flattering sentence to every candidate or announce a person publicly before they have explicitly accepted the agreed role.

Turn an interested reply into a clear confirmation

Record one status per person: invited, interested, terms under review, accepted, declined or withdrawn. If the person is interested, agree the exact session title, role, duration, date and local time zone, fee or no-fee basis, travel responsibility, accessibility or technical needs, recording permissions, material deadline and primary contact. Some items may belong in a separate agreement or institutional approval; use your organization’s process rather than treating this email template as a contract.

Send a confirmation note that repeats only agreed facts and lists open decisions with owners and dates. Ask for an explicit acknowledgment; then update the programme and production brief. If the speaker declines or the reply deadline passes, follow the approved backup sequence without double-booking a slot. The tracker is for workflow status, not a place to collect passports, bank details or other sensitive documents.
