Route event campaign replies to a monitored inbox
An event invitation can generate practical questions about dates, access, tickets and registration. Before sending, decide where a reader’s Reply action will land and who will handle it. This guide covers replies to a promotional campaign; ticket-order confirmations and urgent attendee notices may use different systems and owners.

Choose one reply route for this send
Record the event edition, campaign version, intended recipient group and published support address. Choose whether replies should reach a team mailbox, a campaign-platform inbox or a named organizer. Name a primary reader and a backup who can act during the send window. Check that the chosen route is appropriate for questions the message invites: a “register now” email may prompt ticket-choice or accessibility questions, while a date announcement may draw schedule questions. Keep any private attendee detail out of the routing worksheet. This is a communications decision, not a substitute for reviewing who may receive the campaign.
Configure the route your email service actually offers
Configure the chosen path in the email service, then inspect the saved setting for this specific campaign. Mailchimp Inbox is organized per audience and can collect replies for all emails and automations or for an individual email. Its Inbox reply address is generated by Mailchimp, rather than an address the organizer edits. Mailchimp says a Manager-level account user is needed to set up Inbox; check the current plan and permissions before promising team coverage. Campaign Monitor documents a separate reply-to address that can redirect campaign replies away from the visible sender address. These are different models. Do not assume a switch in one service exists in another, or that editing From automatically changes Reply-To.
Prove a reply reaches a person
Send an approved test to a team-controlled recipient, inspect the delivered From and Reply-To details, and use Reply from that message. Confirm where the response appears, who can see it, which sender identity a response would show, and whether the backup can find the thread. A template preview alone cannot prove this path. Mailchimp notes a special case: replies to plain-text test emails go to the From address and are not viewable in the Mailchimp account. If the service’s test mode differs from a live send, document that limitation and use its documented verification route before launch. Record the observed result and fix a mismatch before releasing the full campaign.
The English card captures the exact campaign, chosen route, owner and backup, test evidence, exception and post-send handoff. Fill it with team-controlled test details rather than attendee messages.

Triage the first responses
Agree how replies will be sorted when the message goes out. A registration problem needs an owner who can check the ticketing record; a program question may need the event editor; a request with private details belongs in a restricted support path. Mailchimp Inbox can organize threads with statuses, labels and internal comments, and offers notification settings for eligible account users. Those are Mailchimp features, not a universal workflow. In any system, assign each actionable thread, avoid two staff members answering independently, and keep a visible unresolved queue. An automatic out-of-office reply should not obscure a human question; check how your chosen service handles it.
Record the handoff and any later change
Put the approved route, primary owner, backup, monitoring window and escalation contact in the campaign record. After the first send, check a small sample of real replies against the test and watch for questions that reveal a broken link or unclear event fact. If the owner or address changes, update the campaign setting for future messages and repeat the route test. Do not assume changing a later campaign moves old threads. When the campaign is finished, hand unresolved questions to the continuing event-support owner and record where readers can still reach the team.
