Event radio communication plan template: channels, roles and fallback
An event radio plan should answer who can reach whom, for what purpose, and what happens when the signal fails. Use this editable assignment sheet with the venue and radio provider before briefing crews; it does not grant permission to transmit.

Start with the venue or supplier’s authorized equipment and channel plan, then map operational roles, zones and call signs. Keep show cues, guest operations and command escalation legible to the people who use them. FEMA’s incident form illustrates recording function, assignment and operating period, but do not copy its emergency-service frequency fields into a public event sheet.[2][1]
Brief short messages and escalation
Give each team a primary contact, backup contact and route for urgent decisions. In the worksheet, practice a call with location, issue and requested action, then require the receiver to acknowledge the assignment. Keep sensitive attendee information off shared channels. Link emergency communications to the approved site plan and trained command roles.[3]
Walk the site and test failure paths
Test equipment where crews actually work: entrance, backstage, loading, remote rooms and outdoor edges. Record dead spots, noise, battery duration observed and spares. Agree a phone, runner or wired fallback where radio is unreliable; a radio inventory alone cannot prove coverage.[4][3]
Control revisions and local authorization
Date the desk sheet and reissue it when a channel, role or call sign changes. Recover spare devices and confirm charging at shift handover. Ask the venue/provider and relevant local communications authority which equipment and transmission rights apply; the UK Ofcom example is jurisdiction-specific, not a worldwide rule.[5][1]
