Event venue pre-open readiness walkthrough and handoff checklist
On event day, the venue may be set while guest-facing services are still unresolved. Use one short walkthrough before doors open to compare the actual space with the approved event plan, record exceptions and give the door team a clear opening decision. This is an operational handoff; venue-approved specialists retain safety and accessibility decisions.

Copy one opening register
Download the editable pre-open readiness register (Markdown, English)
Copy the English register for each venue or event area. Enter the plan revision, agreed opening time, route, service leads and authorized decision owner. Cornell Tech asks clients to review room setups with Event Management and meet catering and IT before the event starts; adapt that handoff to your venue’s own teams and access rules.[1]
Walk the guest route with the responsible leads
Walk the guest path from arrival through registration to each occupied room. Have the responsible lead confirm the actual setup against its approved reference, not merely mark a box. Palmer Commons asks organizers to confirm room setup and arrange a sound check if needed. Michigan Ross also calls for day-of AV, food and registration checks.[2][3]
- Entry and registration: desk, lists, supplies and guest directions.
- Rooms: furniture, session identity and materials against the plan.
- AV: intended content, microphones and operator handoff.
- Services: catering, cleaning and agreed guest amenities.
- Specialist items: record the venue lead’s approval reference.
Keep exceptions visible
Write each mismatch as an observable condition with an owner, next action and recheck time. A missing sign, untested input or delayed supplier needs its own route; do not convert “pending” into “ready” because opening time is near. Send access, egress and other specialist concerns to the venue’s authorized lead under its approved plan.
Make and relay the opening decision
The named decision owner records ready, conditional or hold. Conditional is only for a difference the authorized owner has accepted with a remedy and guest-facing update; it is not a waiver of specialist checks. If held, identify who updates arrivals and when the status will be reviewed. Log the decision time, venue and organizer acknowledgements, the door-team recipient and the worksheet revision. Recheck changed conditions before the doors actually open.
