Event waste collection plan template: streams, suppliers and site handback

Waste planning works only when each material has a verified destination and an owner from vendor setup through site handback. Use this plan with the venue, suppliers and collector; confirm local rules and accepted materials before printing bin signs.

Every stream needs an accepted destination and a named handoff.

Confirm each stream with its actual collector

List likely food, packaging, cardboard, glass, reusables and general waste from every activity. Ask the local collector what it accepts and in what condition, then record the collection method and destination. A compostable label alone does not establish that the service will take an item. Reduce avoidable material before sizing bins.[1][2]

Place bins and assign live checks

Plot stations near the places waste is made, with matching labels for the streams that will actually be collected. Agree who supplies containers and who checks fill level, contamination, spills and litter during each event phase. Keep stations and temporary storage clear of accessible paths, exits and vehicle routes.[1][3]

Write supplier and collection handoffs

Record whether each caterer, exhibitor, cleaner, venue team or waste contractor brings its own containers, empties them, moves material to secure storage and signs collection records. Put pickup windows and vehicle access on the site plan. Give overflow, missed pickup and rejected-load decisions to a named lead.[1][3]

Close with a site sweep and evidence

After guest exit, inspect public areas, backstage, loading and storage. Record remaining bags, reusable returns, collector receipts, damage or contamination exceptions, and who accepted the restored site. Follow the venue and local authority conditions rather than assuming this worksheet is an approved plan.[4][1]
