Temporary event stage supplier brief: what to confirm before hire

A useful stage inquiry tells a qualified supplier what the stage must support and where it must be built. This organizer worksheet records facts, open questions and review owners; it is not a structural design, inspection certificate or permission to build.

Describe the show before suggesting a platform

Download the editable stage supplier brief (Markdown, English)

List each stage use, the greatest number of people and items expected together, changeovers, performer access needs, audience configuration and sightline goals. Share confirmed technical riders and mark unknowns. Ask the supplier to propose suitable dimensions and systems rather than treating a rough preferred size as an engineered specification.[1][2]

Supply verified site and access information

Attach the current site plan and photos of the proposed position, surface, nearby routes, overhead limits and delivery path. Record which measurements, ground or floor capacity, buried services and anchoring restrictions the venue has verified, and which require competent assessment. Include build, rehearsal, show and dismantling windows; keep vehicles separate from audience routes under the venue plan.[2]

Ask the supplier to define the complete scope

Request a proposal that identifies stage/roof, access, edge protection, production interfaces, power responsibilities, crew, delivery, installation, inspection, operation and dismantling. Ask for the supplier’s competence evidence and the design and method information the venue or local reviewer requires. Record inclusions, exclusions, assumptions and the person who resolves each gap.[3][4]

Make review and handover explicit

Before use, identify who assesses the design and site conditions, who accepts the installed structure, who monitors event-specific operating limits, and who has authority to pause use. Obtain the venue and local permissions that actually apply. The supplier or competent specialist must determine any structural loads, anchoring, weather thresholds and modifications; this organizer brief cannot approve them.[4][3]
