Will-call ticket pickup: what guests need and how to run the desk

Will call means a ticket or credential is held for collection at a venue desk instead of being delivered in advance. The exact desk, opening hours and verification rules belong to the event and ticket provider. EventCartel describes name and order lookup at the venue; AXS describes pickup at the box office and points guests to the venue for its hours. This guide starts with the guest’s question, then gives organizers an editable desk plan.

Tell guests exactly where and when to collect

Put the pickup location, opening hours, accessible route, event date and support contact in the confirmation and pre-event message. Say whether collection issues a physical ticket, credential or check-in status. Do not assume that “box office” is obvious on a large site. Give a map pin or landmark and explain whether the desk closes when doors open or remains staffed.[1][2]

Name the proof your event requires

State the order reference and whichever name or identity check the actual ticket provider and venue approve. EventCartel asks for a physical government ID and order proof; AXS asks for ID and the purchase card. These are their policies, not universal rules. Before travel, a guest should check the event instructions rather than rely on a generic list. Offer a support route for name mismatch, lost confirmation or someone unable to present the stated document.[1][2]

Set a separate rule for another collector

Do not assume a friend can simply collect an order. Ticketmaster says alternate pickup depends on venue and may require an authorized alternate name. Decide who can approve a change, how it is recorded in the ticketing system, what evidence the collector must show and what happens after the cutoff. Publish this rule before the event. Keep the ordinary pickup line moving by sending unresolved cases to a staffed exception desk.[3]

Run and reconcile the counter

Give staff the current order list, pickup status, approved exception path and a way to contact the ticketing lead. Confirm an order before handing over a ticket or credential and mark it collected in the system to prevent a second handoff. Log only a minimal decision record: order reference, outcome, time and staff owner; do not copy full IDs or payment cards into a shared worksheet. At close, reconcile issued, voided and unclaimed stock with the ticketing system and follow the event’s retention policy. UK ICO data-minimization guidance supports collecting only what is needed in its jurisdiction.[4]
